## The night before.

The rehearsal dinner is the part of the wedding weekend nobody plans — and
the one where the groom's mother ends up running the show. Here's what it
looks like when someone else does.

### The part nobody plans

Ask a couple about their wedding day and you'll get a timeline. Ask about
the rehearsal dinner and you'll get a restaurant name and a shrug. It's the
first time both families are in one room, the first toasts, the first
moment the weekend starts to feel real — and it usually gets planned in
a group text the week before.

We've watched it from the wedding side for years. The couple arrives at the
rehearsal dinner already tired, because they spent the afternoon setting up
tables at a venue that opened for the rehearsal and then ran twenty minutes
late. Nobody knows who's speaking, so either three people give a toast at
once or nobody does. The welcome bags are in someone's trunk. And the one
person who could have run the evening — a parent, usually — spends it
handing out place cards instead of sitting down with their kid.

None of that is a disaster. But it's the night before your wedding, and it
should feel like the start of something.

### What we actually do

This year we made rehearsal dinner planning and coordination an add-on to
every one of our [wedding packages](https://kellyhammondevents.com/weddings), because we kept getting
asked and kept saying yes anyway. Here's what "coordinating the rehearsal
dinner" means when we say it.

**Before the night.** We source the venue if you don't have one — a
restaurant's private room, a winery patio, a backyard, the same property as
the wedding. We recommend and help book the vendors: caterer, rentals,
florals if you want them. We build a real timeline for the evening, and we
find out who's speaking so the toasts have a shape instead of a free-for-all.

**The transition.** If the rehearsal itself is at the ceremony site, we run
that too — it's the same rehearsal we'd facilitate under any of our
packages — and then we get everyone from the aisle to the dinner without
losing an aunt. This is the handoff that usually goes sideways when nobody
owns it.

**The evening.** We're on site for up to four hours as the point of contact
for vendors, family, and guests. We manage vendor arrivals and setup, we set
out whatever décor and personal touches you've brought, and we run the
flow: welcome remarks when everyone's seated, dinner service, toasts in the
order you wanted, the slideshow, the surprise your sister planned. If a
speaker goes long or the kitchen runs behind, we handle it and you don't
hear about it.

**The small things.** Gifts for your wedding party, welcome bags for
out-of-town guests — we organize and hand them out so they're not in a trunk.
And you go to bed the night before your wedding having actually been at
your own rehearsal dinner.

### Who it's for

Honestly, most couples. It matters most when:

- **Both families are traveling in.** A destination weekend — the
  [coast](https://kellyhammondevents.com/oregon-coast-weddings), [Bend](https://kellyhammondevents.com/venues/rock-springs-ranch), a
winery in the valley — puts fifty people in an unfamiliar town with one
dinner to find each other at. Somebody should be holding the map.
- **The rehearsal and the dinner are in different places.** Every venue
change is a chance to lose forty minutes.
- **A parent is hosting.** Traditionally the rehearsal dinner is the
groom's family's night, and they deserve to be guests at it. Handing us
the logistics is the kindest thing you can do for the person paying.
- **You're already booked with us for the wedding.** We know your vendors,
your families, and your timeline. Adding the night before is the same
team and the same planning software, one evening earlier.

### Who it isn't for

If your rehearsal dinner is twelve people at a restaurant with one long
table and a reservation, you don't need us. Order the wine, let your dad
give the toast, and go to bed early. We'll see you in the morning.

### How it fits with everything else

The add-on sits alongside all three of our packages — wedding day
management, partial planning, and full event planning — and the inclusions
are listed on the [weddings page](https://kellyhammondevents.com/weddings). If you're still sorting out
which package you need at all, start with
[what a day-of coordinator actually does](https://kellyhammondevents.com/journal/what-does-a-day-of-coordinator-do);
the night before is the same idea, applied to the evening that sets the tone.

And if you're planning a fall wedding in the Rogue Valley, now is roughly
when the rehearsal dinner question comes up — see
[when to book what](https://kellyhammondevents.com/journal/when-to-book-wedding-vendors-rogue-valley) for
where it lands on the timeline. Short version: once the wedding venue is
locked, the rehearsal dinner venue is the next call, because the good
private rooms in Ashland and Medford go on the same Friday nights.
