A month-by-month timeline for a Rogue Valley wedding — what has to be locked early, what can honestly wait, and the one deadline couples find out about too late. ### The order matters more than the calendar Most booking timelines you'll find online are written for a city with two hundred photographers in it. The Rogue Valley isn't that. The vendor pool here is small and genuinely good, which means the constraint isn't your budget or your taste — it's that the people you want are already booked on the Saturday you want. So the useful question isn't *how many months out*. It's *what does everything else depend on*. Book in dependency order and a short timeline still works. Book out of order and eighteen months won't save you. ### Eighteen to twelve months: the date and the room Guest count, then venue, then date. In that order, every time — a venue that technically fits your list isn't the same as one that fits it comfortably once you add tables, a dance floor, and a bar. Summer Saturdays at the valley's known properties go first, and harvest season complicates the wineries specifically — a working vineyard has opinions about September that have nothing to do with weddings. If you want a September Saturday at somewhere like [Naumes Suncrest in Talent](https://kellyhammondevents.com/venues/naumes-suncrest-winery), that's an early conversation. This is also when to bring us in, if you're bringing us in at all. We take one wedding per weekend, so our calendar behaves like a venue's. And the highest-value hour of the whole process is reading a venue contract *before* you sign it, which only works if it hasn't been signed. ### Twelve to nine months: the people who only do one wedding a day Photographer, caterer, and whoever is running music. These three book furthest out because none of them can be in two places at once, and because couples rightly refuse to compromise on them. Check your venue's rules before you fall in love with any of them. Plenty of valley properties require licensed, insured caterers and bartenders, and some require you to pick a DJ from their preferred list. If you've already put a deposit down with someone who isn't on it, the rule has just decided something for you. ### Nine to six months: design, and the things design implies Florals, rentals, cake, and anything structural — arches, tenting, a dance floor that isn't the venue's. This is the stretch where the wedding stops being a mood board and starts being a load-in plan. The dependency here is real: rentals depend on the layout, the layout depends on the guest count, and the guest count isn't final until invitations go out. Which is why design comes *after* the room and not before it, no matter how much more fun it is. ### Six to three months: invitations, rooms, and permits Invitations out around three months, save-the-dates earlier if people are flying. Guests mostly land at Medford, and anything further than the valley belongs on the invitation rather than in a group text the week of. Hotel blocks want the same lead time. Our [coastal wedding guide](https://kellyhammondevents.com/oregon-coast-weddings) covers that side in detail. ### Three months to the week: the deadline people miss Here's the one that catches couples, and it catches out-of-state couples almost every time. **An Oregon marriage license has a three-day waiting period, and it's valid for sixty days.** That's a window, not a deadline — too early and it expires, too late and the county cannot help you. Both of you apply together with photo ID at any county clerk's office; Jackson County covers Medford and Ashland. No blood test, no residency requirement, and the license works anywhere in Oregon regardless of which county issued it. The failure mode is flying in Friday for a Saturday wedding. There is no counter anywhere in the state that fixes that. Put the clerk's office in your travel plan. The rest of this stretch is final guest counts to the caterer, the seating chart, hair and makeup trials, and the timeline — which is the document the whole day actually runs on. If someone else is building it, this is when it gets built. ### What can genuinely wait Favors. Signage. The playlist beyond the four or five songs that matter. Welcome bags. The specific ribbon. None of these are the reason a wedding feels good, and all of them expand to fill whatever time you give them. Spend the attention on the guest count, the timeline, and the people you're paying to be excellent. ### If you're already behind Most couples who call us are somewhere in the middle of this list, not at the top of it, and that's completely normal.
